Small Kent law firm saves £60k a year with Access Legal Proclaim

A small but growing UK law firm says it has saved more than £60,000 a year and increased its case turnover thanks to new going paperless and adopting case management system Access Legal Proclaim, which formed a major part of its digital transformation drive.

OP Costs Drafting in Kent, a legal costs consultancy that also undertakes civil and commercial litigation as well as arbitration work, moved onto a full version of Proclaim last year to allow for greater customisation, increased automation and a move to a fully paperless office.

Founder Owen Poole said the move meant OP’s legal teams have been able to massively reduce their time spent on admin work, and are now able to customise their dashboards. Its clients can also now digitally sign documents instead of printing, signing, scanning and submitting forms which has saved a considerable amount of time in managing paper files.

“We are saving a fortune,” said Poole. “We used to spend hours hunting for paper files in our office, even though there’s not that many of us here. But we have got rid of every single file in the office and nothing gets printed off. It’s all kept on the system.

“Our case turnover has increased this year and I’m certain that a part of that is because we are saving time on the paperless aspect so we can take more cases on and therefore increase our turnover.”

Owen said the firm has further benefited from digitally serving bills and chasing responses from clients, and can now also report more easily on the performance of the business through customisable reports accessed in Access Legal Proclaim.

Poole added: “We’ve saved so much time in terms of reporting, processes and automation. For fee earners, their day-to-day lives are made a lot easier by what Proclaim does for them.”

Access Legal acquired Eclipse Proclaim in 2020 and last year launched a new version of Access Legal Proclaim. Its other solutions include practice management, finance and accounting, as well as HR, CRM and law area specific tools including for conveyancing.
