Job Summary
As a key member of a rapidly growing company this is a fantastic opportunity for a self-motivated, enthusiastic, intelligent individual to join the Peppermint team. This challenging role, reporting into the Head of Service Delivery includes duties such as co-ordinating activities for smaller orders, setting up and managing the Project Office and providing support to the Service Delivery Team.

Main Responsibilities

Duties
Project Co-ordination
• Co-ordinate small orders for customers and internal tasks that do not have a Project Manager assigned
• Provide project administration support to the service delivery team
• Respond to Project Office emails for small orders/ad-hoc work escalating urgent issues to the appropriate escalation point
• Liaison with customers for delivery of quotes, advice of delivery timescales, etc

Financial
• Financial management for all orders;
o Invoicing
o Forecasting
o Approval of 3rd party costs
o Raising purchase orders
• Generate quotes for service requests

Resource Management
• Administer all requests for resources delivered from within the professional services team
• Maintain and communicate to stakeholders the resource plan

Administration
• Collate management reports in respect of the status of projects/programme
• Collate and produce utilisation reports for the service delivery team
• Audit project files to ensure that the Peppermint project management methodology is being adhered to
• Audit that trackers are being produced for each project as required by finance
• Configuration management – maintaining a corporate repository of all documentation including templates/documents used to manage projects, implementation etc
• Arrange and co-ordinate attendees of internal training courses and meetings as requested by Service Delivery Manager

Sales Administration
• Generate quotes for small orders or service requests
• Liaise with customers for delivery of quotes, advice of delivery timescales, implementation work etc

Knowledge, Skills and Experience

Essential:
• 2 yrs previous experience of managing, or working within a Project Support Office
• Understanding of accounting requirements & procedures
• Professional telephone manner
• Able to maintain high levels of confidentiality and professional conduct
• Excellent organisational and administration skills
• Smart appearance and professional manner
• Good time management skills and the ability to prioritise
• Able to use initiative and work effectively with minimum supervision
• Good Communication Skills
• Excellent PC skills with good working knowledge of MS Office Suite, including MS Project
• Approachable personality and able to communicate effectively and professionally with all levels of staff and external suppliers/contacts both verbally and in writing
• Full UK driving licence

Desirable:
• Prince2 Practitioner
• Previous knowledge and experience of working in a project environment with an understanding of change control and configuration management
• Experience of project planning and able to understand Gantt Charts
• Project administration experience
• Database management experience, preferably CRM
• Good working knowledge of Microsoft SharePoint & Dynamics CRM
