Ricoh UK recently hosted a roundtable discussion with CIO Andrew Powell at the offices of Macfarlanes, bringing together senior IT leaders from across the legal industry to explore the evolving concept of the workplace experience.
The session focused on the challenges law firms face in delivering a consistent and effective digital workplace. A key theme that emerged was the disparity in technology setups across different office environments, which continues to undermine user experience. This inconsistency reflects a broader tension between the push for innovation and the need for simplicity and usability in legal IT systems.
Participants also highlighted the growing importance of data-driven decision-making. While firms are increasingly seeking to understand office usage patterns and employee preferences, many expressed frustration with the current analytics platforms, which often fall short in delivering actionable insights—particularly in areas such as learning, engagement, and hybrid working trends.
Another recurring issue was the lack of integration between workplace systems. As firms attempt to adapt to fluctuating office attendance—such as peak usage days—they are finding that fragmented tools hinder both user experience and operational efficiency. The group agreed that improving interoperability between platforms represents both a pressing challenge and a significant opportunity.
The discussion acknowledged the complexity of accommodating individual working styles within a shared environment. In a sector where quiet, focused work is often essential, designing a workplace experience that balances collective needs with personal preferences remains a difficult task.
Looking ahead, the next session in this series will be hosted by Weightmans business services and innovation director Stuart Whittle at Weightmans London office on 9 September. The agenda will revisit the workplace experience challenges discussed, with a focus on practical solutions. The second half of the session will shift to cybersecurity, addressing the most critical threats facing legal IT leaders today and the sharing peer-led insights.
